1. Part-time Virtual Office Assistant (Remote)

We are seeking a highly organized, detail-oriented, and compassionate Part-Time Virtual Assistant to support the daily administrative operations of a growing mental health clinic with locations in Sisters & Silverton, Oregon. This role is ideal for someone who thrives behind the scenes, values discretion, and understands the importance of professionalism and confidentiality in healthcare settings.
 

The Virtual Assistant will play a key role in ensuring smooth scheduling, communication, and operational efficiency.

Key Responsibilities

  • Manage client scheduling, appointment confirmations, and cancellations

  • Respond to phone calls, emails, and patient portal messages in a timely and professional manner

  • Assist with intake coordination, sending intake paperwork, and tracking completion

  • Maintain accurate client records within the electronic health record (EHR) system

  • Verify insurance benefits

  • Prepare reports, documents, and templates for administrative or clinical use

  • Support provider credentialing and licensing tracking (as applicable)

  • Assist with website updates, newsletters, or basic social media coordination (optional, if applicable)

  • Maintain HIPAA compliance and strict confidentiality standards

 

Qualifications

  • Previous experience as a virtual assistant, administrative assistant, or medical office assistant preferred

  • We are prioritizing Oregon-based candidates as a familiarity with the region is a plus!

  • Experience working in healthcare or behavioral health settings preferred

  • Familiarity with EHR systems a plus, but not required

  • Strong written and verbal communication skills

  • High level of organization and attention to detail

  • Ability to manage multiple tasks independently and meet deadlines

  • Proficiency in Google Workspace, Microsoft Office, and secure file-sharing platforms

  • Understanding of HIPAA compliance and patient confidentiality standards

Compensation

18.00-22.00/hour

Hourly rate commensurate with experience.
